Signing Up

The sheet owner will send you a Signup link, for example:

Click on the link to see the Signup sheet. On the sheet you will see:

Owner Name and Email
You can click on the owner's name to send an email to that person.
Sheet Title
The title for the Signup sheet, as set by the owner.
Description
The description for the Signup sheet, as provided by the owner.
Status
The Signup sheet status may be open or closed. If the sheet is still open, the status shows when the sheet will close. You may only sign up for a slot while the sheet is open.
Slot
Each slot shows:
  • the slot time, or "--" if no time is set
  • description of the slot, provided by the sheet owner
  • an optional link [Link] to more information
  • the name of the volunteer who has signed up for the slot, or "(hidden)" if the sheet owner decided to keep volunteer information private

To sign up for a slot:

  1. Enter your first name, last name, and email address. This information is provided to the sheet owner sheet so he or she can contact you. Your name and email will be visible to other volunteers unless the sheet owner decides to keep volunteer information hidden.
  2. Click on a checkbox next to an available slot. If there is no checkbox next to a slot, then that slot is already taken. You may sign up for more than one slot.
  3. Click the “Sign Up” button.

Creating Sheets

A sheet must have:

Owner Name and Email
You must enter a first name, last name, and an email address. This information is displayed on the Signup sheet so volunteers can contact you. Also, Signup Ahead sends a link to this email address so you can access the Manage page.
Sheet Title
The sheet's title is shown to volunteers on the Signup sheet, and in any emails sent to you.
Starting Slots
You must specify how many slots you need for the sheet. You can add and remove slots from the Manage page.

The rest of the fields are optional:

Description
The description field is optional and usually contains detailed information such as what the event is, when and where it is being held, and who will be attending. This is also a good place to include contact information such as your cell phone number.
Close Time
The close time is optional and sets when the sheet closes automatically. Volunteers can only sign up for slots while the sheet is open. You can close or open a sheet at any time from the Manage page. Leave this field blank to keep the sheet open until you close it manually. Click on [Clear] to clear the close time. You can specify a close date and time as MM/DD/YYYY HH:MM.
Hide Volunteers
If this box is checked, then volunteer names will be shown as "(hidden)" on the Signup sheet. If not checked, then volunteer names and emails will be shown. Use this checkbox if you want to protect your volunteers' privacy. Note that volunteer names and emails are always shown on the Manage even when this box is checked.

When you click the “Create” button, your sheet will be saved and an email will be sent to the address you provided with a link to manage your new signup sheet.

Save this email! You will need it to edit or close your sheet, and to add or remove slots. When you receive the email, click on the link provided to manage your signup sheet. If you do not receive this email, check your SPAM folder.


Managing Sheets

After you create a sheet Signup Ahead will send you a Manage page link, for example:

Save this link! You will need it to manage your sheet. You can share this link with others, but be careful! Anyone can use this link to manage the sheet; they do not need to login or even have a Signup Ahead account. Click on the link to see the Manage page. On the Manage page you will see:

Owner Name and Email
You can click on the owner's name to send an email to that person (in case you are not the owner).
Signup Link
Send this link to your volunteers. They can click on this link to access to Signup sheet. Note that anyone can use this link to sign up for slots; they do not need to login or even have a Signup Ahead account. So make sure you only share this link with volunteers.
Sheet Title
The sheet's title is shown to volunteers on the Signup sheet, and in any emails sent to you.

Save Changes
Click this button to save any changes you have made to the sheet or slots.
Open Sheet
Click this button to open the sheet for sign up. Volunteers can only sign up for slots if the sheet is open. You can re-open a closed sheet at any time.
Close Sheet
Click this button to close the sheet. Volunteers can only sign up for slots if the sheet is open. You can close a sheet at any time. You can also specify that the sheet should close automatically by setting the close time.
Email
Click on [Email] to send an email to all volunteers using your default email program. This icon appears when there is at least one volunteer signed up for a slot.
Download Spreadsheet
Click on [CSV] to download an Excel Comma-Separated Values (CSV) file of the slots. The file has columns for start, end, slot name, link, volunteer name, and volunteer email. There is one row for each slot on the sheet. You may find it useful to download and print a copy before the event so you have all the slot and volunteer information handy at the event.
Copy Sheet
Click on [Copy] to create a copy of the current sheet. This icon appears when you are logged in.
Delete Sheet
Click on [Copy] to permanently remove the sheet. Clicking this icon will bring up a confirmation page. Deleting a sheet cannot be undone.
Finished
Click on the "Finished" link when you are finished editing the sheet. This link will take you to the Signup sheet.
Slots
Click on [Edit] to open the slot editor. Click on [View] to close the editor and show the slot viewer.

View Slot

Checkbox
Click on a checkbox to select a slot. Click on the checbox at the top to select or de-select all the checkboxes. Select slots to remove them, or clear volunteers.
Number
The slots are listed in order of increasing start time. If no start time is given, they are sorted by slot name.
Time
The start date, start time, and end time for the slot, or "--" if no times are set.
Desc
The description for this slot; typically the slot name or perhaps an item to bring.
Link
Click on [Link] to view the linked information for this slot.
Taken By
The name of the volunteer who has signed up for this slot. Click on the name to send an email to the volunteer.

Edit Slot

Desc
Use the Desc field to describe the slot.
Link
You can enter a web address (URL) in the Link field. Volunteers can click on [Link] from the Signup sheet to go to this address.
Time
A slot may have a date, start time, or end time. You can leave any field blank, and slot times can overlap. Click on [Clear] to clear the time. Enter a date as MM/DD/YYYY and start and end times as HH:MM.
Taken By
Enter the name and email address for the volunteer assigned to this slot. Click on [Clear] to clear the volunteer.
